Privacy policy
This policy explains what personal information riivo collects when you talk to Alice on this site, why we collect it, who we share it with and the rights you have. It applies to this site only. Your use of riivo's other services is covered by the agreement for those services.
1. Who we are
riivo is [REGISTERED COMPANY NAME] (registration number [NUMBER]), Unit 4, Greenwich Grove Office Park, 4 Station Road, Rondebosch, Cape Town, South Africa. For visitors in the United Kingdom, riivo's UK company is [UK COMPANY NAME AND NUMBER]. We are the responsible party (South Africa) and controller (United Kingdom) for the personal information described here.
Questions, requests and complaints go to our Information Officer, [NAME], at [PRIVACY EMAIL].
2. What we collect
| Information | Where it comes from |
|---|---|
| Your first name, company, work email, sector and country | The form you fill in before the conversation |
| A recording and written transcript of your conversation with Alice, and anything you type | The conversation itself, only after you agree to it being recorded |
| Basic technical information such as your IP address, browser type and the time of your visit | Your browser, through our hosting and voice providers |
Alice will never ask for ID numbers, banking details, passwords or personal information about your own clients. Please don't share them. If you do, we will delete them from the transcript where we can.
3. Why we use it
- To run the conversation and let Alice address you by name.
- So that a riivo consultant can review the conversation and send you a findings note.
- To follow up with you about the findings, if you agree to speak again.
- To check the quality of Alice's conversations and improve how she works.
- To keep the service secure and prevent misuse.
We rely on your consent for the recording, which you give before the conversation starts and can withdraw at any time by ending it. For the rest, we rely on our legitimate interest in responding to a business enquiry you started. We will not sell your information or use it for unrelated marketing without your permission. If we would like to send you riivo news, we will ask first, and every message will let you unsubscribe.
4. Alice is an AI
Alice is an artificial intelligence voice agent. She does not make decisions about you. A riivo consultant reads every conversation, and every findings note is written or checked by a person before it is sent.
5. Who we share it with
We use a small number of service providers who process information on our behalf, under contracts that require them to protect it:
| Provider | What they do |
|---|---|
| ElevenLabs | Provides Alice's voice and conversation technology, and stores the recording and transcript |
| Netlify | Hosts this site and receives the details form |
| Google Fonts and jsDelivr | Deliver the fonts and code this page needs, which means your browser shares its IP address with them |
Some of these providers process information outside South Africa and the United Kingdom, for example in the United States or the European Union. Where that happens, we rely on the provider's contractual and technical safeguards, as POPIA and UK data protection law require. We may also disclose information if the law requires it.
6. How long we keep it
We keep your details, the recording and the transcript for up to [12 MONTHS] after the conversation, unless you become a client, in which case our client agreement applies. You can ask us to delete them sooner at any time.
7. Security
We limit access to your conversation to the riivo team members who need it, and our providers encrypt information in transit. No system is perfectly secure, but we will tell you and the regulator if a breach affects your information, as the law requires.
8. Your rights
You can ask us to tell you what information we hold about you, correct it, delete it, or stop using it. You can withdraw consent at any time. Email [PRIVACY EMAIL] and we will respond within 30 days.
If you are unhappy with how we have handled your information, you can complain to the Information Regulator of South Africa (inforegulator.org.za) or, in the United Kingdom, the Information Commissioner's Office (ico.org.uk). We would appreciate the chance to put things right first.
9. Cookies
This page does not use advertising or tracking cookies. Your browser may store small technical items needed for the conversation to work.
10. Changes
If we change this policy, we will update the date at the top of this page.
